Document Management
From creation to audit trail — every document linked, versioned, and traceable.
Every business drowns in documents — invoices, contracts, certificates, reports, and policies scattered across shared drives, email, and filing cabinets. The Document Management module creates a single, organised, searchable, and access-controlled repository for every business document.
What this module solves
Documents in Indian businesses live in a state of organised chaos. Critical contracts are in a partner's email. Insurance policies are in a filing cabinet. Quality certificates are scanned somewhere on the shared drive. When someone needs a document, the search can take hours — and sometimes the document is never found.
DM brings every business document under one roof with proper classification, version control, and access management. When an auditor asks for a contract, it is a search away. When a licence is expiring, the system alerts you months in advance. When someone edits a policy, the previous version is preserved for comparison.
Without this module
Critical documents are scattered across email, shared drives, and physical cabinets. Finding a specific document requires asking multiple people.
Contract versions are tracked by file name — "Agreement_v2_final_FINAL_revised.pdf." Nobody knows which version was actually signed.
Expired licences and lapsed insurance policies are discovered only when there is a crisis or an audit finding.
Access to sensitive documents is uncontrolled. Anyone with shared drive access can view, copy, or delete confidential files.
Auditors spend days requesting documents that the team then spends days locating. The audit process is delayed by document disorganisation.
Core capabilities
Centralised Document Storage
Store all business documents — invoices, contracts, certificates, reports — in a single organised repository. No more hunting through shared drives, email attachments, and desk drawers. Every document has a permanent, searchable home.
Version Control
Every document update creates a new version while preserving the original. See who changed what and when. Roll back to any previous version. Version comparison shows exactly what was modified between iterations.
Access Control & Security
Define who can view, download, edit, or delete each document category. Department-level and role-level permissions ensure sensitive documents are visible only to authorised personnel. Access attempts are logged.
Document Workflows
Route documents through review and approval workflows. A contract draft goes to legal review, then management approval, then counter-signing. Each stage is tracked with timestamps and approver identity.
Template Management
Maintain standard templates for commonly generated documents — offer letters, purchase orders, agreements, certificates. Templates ensure consistency and compliance across the organisation.
Document Tagging & Classification
Tag documents by type, department, project, customer, or vendor. Multiple tags allow flexible retrieval. A purchase order can be found by vendor name, PO number, department, or date range.
Expiry & Renewal Tracking
Documents with validity periods — licences, contracts, insurance policies, certifications — are tracked with expiry dates. Automated alerts trigger renewal processes before documents lapse.
Full-Text Search
Search across document contents, not just file names. Find a specific clause in a contract, a line item in an invoice, or a reference number in a certificate. The search indexes document text for instant retrieval.
Key workflows
Document Upload to Categorisation
A document is uploaded to the system. The uploader selects the document type, adds tags, links it to a relevant transaction or entity (customer, vendor, employee, asset), and sets access permissions. The document is now discoverable by anyone with access.
Review to Approval
A document requiring approval — a contract, policy, or proposal — enters a workflow. Reviewers add comments. Approvers sign off or request changes. Each cycle is versioned. The final approved version is marked and locked from further editing.
Template to Filled Document
An employee needs to generate an offer letter. They select the template, the system auto-fills data from the employee master (name, designation, salary), and the filled document is available for review and approval. Consistent, accurate, fast.
Expiry Alert to Renewal
A vendor agreement is approaching expiry. The system generates an alert to the responsible team 90 days before expiry. A renewal task is created. The negotiation, new agreement, and updated document replace the expiring version with full history preserved.
Who benefits
Legal / Compliance
All contracts, agreements, and regulatory documents in one place with version history. Expiry tracking ensures no agreement lapses unnoticed. Audit trail satisfies regulatory requirements for document management.
Operations Team
Standard operating procedures, quality manuals, and process documents are always current. Previous versions are accessible for reference. New employees find the documents they need without asking colleagues.
Finance Team
Invoice copies, bank documents, tax certificates, and audit papers are organised by period and entity. Auditor requests are fulfilled by sharing links instead of searching through file cabinets.
HR Department
Employee documents — appointment letters, ID copies, certificates, appraisal forms — are stored in the employee document folder with restricted access. Onboarding document checklists are tracked per employee.
Dashboards & reports
Document Activity Log
Recent uploads, edits, downloads, and approvals across the organisation. Who accessed what and when — a real-time audit trail.
Expiring Documents
Documents approaching expiry grouped by urgency — expired, expiring this week, this month, this quarter. Each links to the renewal workflow.
Storage Utilisation
Storage consumption by department, document type, and period. Identify departments generating excessive document volume.
Pending Approvals
Documents waiting for review or approval with ageing indicators. Bottlenecks in document workflows are immediately visible.
Works with
All Modules
Documents can be attached to any transaction in any module — a purchase order, a service ticket, an employee record, an asset register entry. DM is the document layer for the entire platform.
Compliance & Legal
Compliance documents — filed returns, acknowledgements, notices, responses — are stored with period and entity linkage. Audit preparation pulls documents from DM automatically.
People & Payroll
Employee documents are managed in a structured folder per employee. Onboarding checklists track document collection. Exit clearance includes document handover verification.
Asset Management
Asset documents — purchase invoices, warranty cards, maintenance reports — link to the asset register. Asset audit references documents directly.

Frequently asked questions
Is there a storage limit per organisation?
Storage is allocated based on your subscription plan. Most plans include generous storage that covers typical business document volumes. Additional storage can be added as needed. The system monitors utilisation and alerts administrators when capacity is approaching limits.
Can we migrate existing documents from shared drives?
Yes. BoSS provides bulk upload tools and migration assistance. Documents can be uploaded in bulk with metadata mapping. The migration process preserves folder structure or reorganises documents per the new taxonomy.
How does DM handle document security for sensitive files?
Access controls operate at document type, department, and individual document levels. Download restrictions can prevent local copies. Watermarking identifies the user who downloaded a document. Access logs provide a complete audit trail.
Can external parties access shared documents?
Selected documents can be shared with external parties through secure, time-limited links. Access is logged. Links can be revoked at any time. This is useful for sharing contracts with vendors or compliance documents with auditors.
