What this module solves

Critical documents are scattered across email, shared drives, and physical cabinets. Finding a specific document requires asking multiple people.

Contract versions are tracked by file name — "Agreement_v2_final_FINAL_revised.pdf." Nobody knows which version was actually signed.

Expired licences and lapsed insurance policies are discovered only when there is a crisis or an audit finding.

Access to sensitive documents is uncontrolled. Anyone with shared drive access can view, copy, or delete confidential files.

Document Upload to Categorisation

A document is uploaded to the system. The uploader selects the document type, adds tags, links it to a relevant transaction or entity (customer, vendor, employee, asset), and sets access permissions. The document is now discoverable by anyone with access.

Review to Approval

A document requiring approval — a contract, policy, or proposal — enters a workflow. Reviewers add comments. Approvers sign off or request changes. Each cycle is versioned. The final approved version is marked and locked from further editing.

Template to Filled Document

An employee needs to generate an offer letter. They select the template, the system auto-fills data from the employee master (name, designation, salary), and the filled document is available for review and approval. Consistent, accurate, fast.

Expiry Alert to Renewal

A vendor agreement is approaching expiry. The system generates an alert to the responsible team 90 days before expiry. A renewal task is created. The negotiation, new agreement, and updated document replace the expiring version with full history preserved.

Storage is allocated based on your subscription plan. Most plans include generous storage that covers typical business document volumes. Additional storage can be added as needed. The system monitors utilisation and alerts administrators when capacity is approaching limits.

Can we migrate existing documents from shared drives?

Yes. BoSS provides bulk upload tools and migration assistance. Documents can be uploaded in bulk with metadata mapping. The migration process preserves folder structure or reorganises documents per the new taxonomy.

How does DM handle document security for sensitive files?
