Work Management

Work Management

From task to closure — structured work execution across teams.

Every business runs on tasks — follow-ups, approvals, reviews, submissions, and action items. The Work Management module ensures no task falls through the cracks. Every piece of work has an owner, a deadline, and a visible status.

What this module solves

Tasks in most Indian businesses are tracked through a combination of verbal instructions, WhatsApp messages, email threads, and personal notebooks. Nothing is centralised. Nothing is measurable. When something falls through the cracks, the discovery happens during a crisis — not a dashboard.

WM creates a universal work queue for the entire organisation. Tasks from any module — procurement follow-ups, compliance filings, service callbacks, production checks — all land in a single trackable system. Deadlines are enforced. Escalation is automatic. And management can see execution velocity without asking for status updates.

Without this module

Action items from meetings are forgotten within 48 hours. Nobody tracks them, and the same items reappear in the next meeting.

Recurring operational tasks — weekly reports, monthly reconciliations, quarterly reviews — are remembered inconsistently.

Work distribution is uneven. Some team members are overloaded while others have capacity, but there is no visibility to rebalance.

Cross-department tasks have no accountability. When something is "with the other department," it disappears into a black hole.

Management relies on status meetings to learn what is happening. The meetings consume hours that could be productive work.

Core capabilities

1

Task Creation & Assignment

Create tasks with clear descriptions, deadlines, priority levels, and assigned owners. Tasks can originate from any module — a service ticket becomes a field visit task, a production order becomes a quality check task. Everything is trackable.

2

Deadline & Priority Management

Every task carries a deadline and priority. The system sorts work queues by urgency. Overdue tasks are flagged. Approaching deadlines trigger reminders. Nobody forgets because nobody needs to remember.

3

Team Workload Visibility

See how work is distributed across team members. Identify overloaded individuals and underutilised capacity. Redistribute tasks before deadlines are missed instead of after.

4

Project & Milestone Tracking

Group related tasks into projects with milestones. Track project progress as a percentage of completed tasks. Milestone delays surface early when individual tasks slip, not when the project review happens.

5

Recurring Task Automation

Define tasks that repeat daily, weekly, monthly, or on custom schedules. Monthly MIS compilation, weekly safety checks, daily production reports — each generates automatically without manual creation.

6

Cross-Module Task Generation

Any module can create tasks in WM. A reorder alert in Inventory creates a procurement review task. A customer escalation in Service creates a management follow-up task. Work flows across module boundaries.

7

Progress Tracking & Updates

Task owners update progress with comments, attachments, and completion percentages. Managers see progress without status meetings. The update history provides context for anyone picking up the task later.

8

Task Dependencies & Sequencing

Define tasks that depend on the completion of other tasks. The system prevents starting dependent tasks until prerequisites are complete. Critical path visibility for complex projects.

Key workflows

1

Task Creation to Assignment

A task is created — either manually or by another module. The creator specifies the description, deadline, and priority. Assignment can be direct (to a specific person) or team-based (any member of a team can pick it up). The assignee receives a notification and the task appears in their work queue.

2

Progress Update to Review

As work progresses, the task owner updates status — adds notes, attaches deliverables, adjusts completion percentage. The manager reviews updates from their dashboard. Questions and feedback happen through task comments, creating a documented discussion trail.

3

Deadline Breach to Escalation

When a task passes its deadline without completion, the system escalates to the next level — typically the assignee's manager. If the escalation is not actioned within a configurable period, it escalates further. Each escalation is logged and visible in the task history.

4

Project Milestone Tracking

A project has defined milestones — each tied to a set of tasks. As tasks complete, milestone progress updates automatically. When a milestone's tasks are all complete, the milestone is marked done. Delayed milestones are flagged in the project dashboard with impact analysis on downstream milestones.

Who benefits

Team Manager

A single view of all team tasks with status, priority, and deadline indicators. Spot bottlenecks, redistribute work, and track team productivity without daily status meetings.

Individual Contributor

A personal task queue prioritised by deadline and urgency. Clear expectations on what needs to be done, by when, and what the deliverable looks like. No ambiguity.

Project Manager

Project-level visibility with milestone tracking, task dependencies, and progress percentages. Identify at-risk milestones early enough to take corrective action.

Senior Leadership

Organisation-wide work execution visibility. See which departments are executing on time and which are consistently behind. Data for resource allocation and capacity planning decisions.

Dashboards & reports

My Work Queue

Team Workload Distribution

Task count and estimated effort per team member. Identify capacity imbalances before they cause deadline misses.

Project Progress Dashboard

All active projects with milestone completion status, task progress percentages, and at-risk indicators.

Overdue Task Report

All overdue tasks across the organisation with ageing, assignee, and escalation status. The red flag dashboard.

Works with

ALL

All Modules

Any module in BoSS can create tasks in WM. Inventory creates procurement review tasks. Service creates field visit tasks. Compliance creates filing tasks. WM is the execution layer for the entire platform.

People & Payroll

People & Payroll

Employee data feeds task assignment — department, role, and reporting hierarchy. When an employee is on leave, their tasks can be reassigned. When someone exits, open tasks are flagged for redistribution.

Document Management

Document Management

Task deliverables are stored as documents with version control. Reports, analysis files, and presentation decks attached to tasks are automatically organised in the document repository.

Frequently asked questions

Can WM replace our project management tool?

WM handles task management, assignment, tracking, and basic project milestone management. For complex project management with Gantt charts, resource levelling, and critical path analysis, a dedicated PM tool may be more appropriate. WM excels at operational task management that spans modules.

How are recurring tasks different from one-time tasks?

Recurring tasks are templates that generate new task instances on a schedule. Each instance is a standalone task with its own deadline, assignee, and completion tracking. The template defines the recurrence pattern and default properties.

Can tasks be assigned to teams rather than individuals?

Yes. Team-assigned tasks appear in the work queue of all team members. Any member can claim the task, at which point it becomes individually assigned. This is useful for support queues and shared responsibilities.

How does WM handle task dependencies across departments?

Tasks can depend on tasks owned by other departments. The system tracks cross-department dependencies and prevents downstream tasks from starting until upstream dependencies are met. Delays in one department are visible to all affected downstream owners.
